Intended outcome
Preview and create the rent charges supported by an active lease without entering every due date and amount manually.
Why schedule charges
Scheduling turns the supported rent terms already saved on a lease into charge records. It can help you:
- reduce repetitive entry for supported recurring rent cadences;
- keep each amount due connected to the correct lease, tenant, property, and unit;
- review due dates, coverage periods, amount components, and future amount phases before creating anything;
- see which occurrences are Already scheduled and which ones Will create, reducing accidental duplicates; and
- give payment recording, reminder, balance, and reporting workflows the expected charges they need.
Prerequisites
- Use an active lease with a start date and active property, unit, and tenant records.
- Complete the lease's supported rent amount, payment cadence, and due-date details.
- Review the saved lease terms first; scheduling uses those terms as its source.
Steps
- Open Charges & payments.
- Select the calendar action labelled Schedule charges.
- Choose the lease. The option identifies its tenant, property, unit, and current recurring amount.
- Choose a Start date. The preview considers supported charges from that date, but never before the lease starts.
- Select Preview charges. Previewing does not create or change charge records.
- Confirm the tenant, property or unit, current recurring amount, frequency, scheduling outcome, and the counts labelled Will create and Already scheduled.
- Review every blocker and warning. When shown, also review recurring streams, amount phases or components, due dates, coverage periods, and one-time obligations.
- In the charge preview, compare Already scheduled rows with Will create rows.
- If the preview is correct, select Schedule N charges, where N is the number of new records.
- Confirm the success message and review the new rows in the rent charge worklist.
Expected result
LandlordRentals creates only the previewed rows marked Will create. Existing matching scheduled charges are retained and skipped. The new charges can then carry balances, receive recorded payments, become eligible for configured reminders, and appear in rent reporting.
Common problems
- The lease is unavailable: confirm the lease is active and its property, unit, and tenant records are not archived.
- Automatic scheduling is blocked: return to the lease and complete the rent amount, cadence, first-payment date, due-day rule, or other detail named by the blocker.
- The amount or date is unexpected: correct the saved lease terms, then open a new preview before scheduling.
- Will create is zero: the matching charges may already exist, or no supported due dates fall within the selected lease horizon.
- A manual charge already represents the same rent: stop and compare it with the preview before creating another obligation.
Product boundaries
Scheduling is an explicit preview-and-create action. It does not collect money, prove that lease terms meet legal requirements, rewrite existing charges when a lease changes, or keep creating charges indefinitely in the background. Review and schedule another appropriate horizon when needed.
