Understand charges and payments

Learn why rent owed and money received are separate records.

Intended outcome

Read rent records correctly without treating an amount due as cash received.

Prerequisites

Open Charges & payments and choose a period containing the rent to review.

Steps

  1. Treat a charge as what the tenant owes for a lease and due date.
  2. Treat a payment as money received and applied to a charge.
  3. Read the balance as the charge amount less applied payments.
  4. Preview and schedule lease-derived charges before creating a manual charge for the same rent.
  5. Use payment dates when reconciling cash-basis rent received.

Expected result

A fully paid charge has no remaining balance; partial and overdue charges retain their outstanding amount.

Common problems

  • Missing report income often means only a charge was created.
  • A wrong balance may have a payment applied to another charge.
  • Manual and scheduled charges can duplicate the same rent.

Product boundaries

LandlordRentals records entries; it does not process tenant payments or reconcile a bank account automatically.
