Intended outcome
Start with clean opening records while preserving the original spreadsheet as migration evidence.
Prerequisites
Create a read-only copy, choose a cutover date, decide the needed history, and map spreadsheet columns to application fields.
Steps
- Standardize property, unit, tenant, vendor, and category names in a working copy.
- Choose whether the cutover needs full history or only active leases, opening balances, and current-year activity.
- Create and count properties, units, tenants, and active leases.
- Reconstruct only charges and payments needed to explain opening balances; do not put one balance in both record types.
- Enter in-scope expenses with original dates, descriptions, amounts, allocation, and references.
- Compare totals by property at the cutover date and document differences.
- Freeze the source and stop parallel entry after cutover.
Expected result
Current records agree with an explicit cutover balance and each difference is documented.
Common problems
- Similar names create duplicate reference records.
- A single net balance cannot be traced later.
- Both systems continue changing after cutover.
Product boundaries
V1 has no public bulk spreadsheet import. Use a controlled manual move and contact support before a large migration.
